POSITION DESCRIPTION:

This role is responsible for providing comprehensive support across the finance department. This role requires strong organizational skills, the ability to work independently, and a commitment to accuracy and timeliness.

Purchase Order Management

  • Initiate and oversee Purchase Order requests to ensure alignment with company procurement policies.
  • Coordinating with vendors and suppliers


Invoice Processing

  • Review and accurately process invoices in the accounts payable system, ensuring compliance with established deadlines.


Discrepancy Resolution

  • Identify and resolve invoice discrepancies and issues promptly to ensure timely payments to vendors.


Payment Runs

  • Execute weekly payment runs, ensuring all payments are processed accurately and efficiently
  • Ensuring timely payment to vendors and suppliers


Reconciliation

  • Perform weekly reconciliations of statement of accounts to maintain accurate financial records.


Ad Hoc Financial Tasks

  • Support various financial activities, including completing credit application forms, managing travel requests, and allocating job numbers for new projects.


Requirements:

  • Bachelor’s degree in accounting, finance or related discipline
  • Proven experience in Accounts Payable
  • Intermediate level – Excel and Microsoft Office

POSITION DESCRIPTION:

The Acceptance Coordinator plays a crucial role in ensuring timely and accurate site acceptance by facilitating collaboration among project coordinators, field teams, and clients. This position is responsible for documenting, reviewing, and uploading project deliverables to various client portals, verifying compliance with industry standards, and facilitating the closure of projects.


Key Responsibilities

Document Coordination

  • Coordinate with project coordinators and field teams to collect necessary documents, photographs, and other materials required for site acceptance.


Documentation Management

  •  Utilize multiple client portals to upload, manage, and organize project documentation e iciently. Portale ie. Orion, Insightus, NDPD, client’s Sharepoint


Compliance Review

  • Review submitted documents and photographs to ensure compliance with client and company standards, identifying any discrepancies or areas for improvement.


Project Scope Verification

Verify that the project scope is completed, and all contractual and regulatory requirements are met prior to site acceptance.

Coordinate with the Project team and does redline mark up for Asbuilt plans.

Site Status Management

Update site status to reflect acceptance and communicate completion to finance teams for timely billing and financial closure.

Record Maintenance

  • Maintain accurate records of all site acceptance processes and track progress
    against established timelines and benchmarks.

 

Communication Facilitation

  • Act as a liaison between clients, project coordinators, and field teams to address
    and resolve any documentation or compliance issues that may arise.
  • Collate all comments/clarifications/changes required by making a snag list report and provide to Project Team/Project Engineer to action
  • Supports Drafting Team to convert redlines into Asbuilt Drawings (if required – carrier dependent). Act as a Liaison between Drafter and Project team with regards to comments/changes/fixes on provided Redlines/Markups on current for Construction Drawings.


Procedural Adherence

  • Ensure compliance with company procedures and specific client requirements
    throughout the acceptance process.


Qualifications:

  • Graduate of any Technical Course
  • Strong organizational and coordination skills.
  • Able to interpret plans and drawings

  • Keen to details and analytical ability.

  • Effective communication and interpersonal skills, with the ability to collaborate across teams.

  • Ability to prioritize tasks and meet stringent deadlines.

  • Proficient in AutoCAD 2D (or similar software).


Work Environment:

  • Primarily o ice-based
  • Collaborative atmosphere that encourages teamwork with cross-functional teams to achieve project goals.

Our work hours are aligned with AEST, typically from 6 AM to 1:30 PM PST (or 7 AM to 2:30 PM PST), Monday to Friday. We also adapt to daylight savings time. Weekend work is only required upon client request. We aim to provide a balance that allows you to maintain your well-being while meeting client
needs.

For probationary staff, we monitor performance closely for three months. During this period, we provide hands-on training and support to ensure you’re set up for success in your role.

For planned long leaves, please inform both the company and client at least two weeks in advance. This allows us to make necessary adjustments and ensure coverage. For emergency leaves, as long as you provide valid justification, we will honor your request. Staff are entitled to 10 days of personal leave and 5 days of sick leave annually.
